Studio Manager & Apprentice Program Manager OVERVIEW

Spiral Q is seeking a full time Studio Manager & Apprentice Program Manager to join our team. This position will work both in-person with occasional remote work, reporting to the organizations’ co-directors. They will provide critical hands-on support and management of our physical operations and programming. This position is about 30% computer-based administrative work and meetings and 70% hands-on in the studio. 

Responsibilities include overseeing the management of materials and supplies for all Spiral Q Programs, coordinating puppet loans, assisting in program management, the maintenance of tools, and equipment, and directly overseeing the Studio’s organization, cleaning and safety. 

As Apprentice Program Manager, this position is responsible for rebuilding and directing the college Work Study Apprentice program essential to the functioning of the Studio. This is a public-facing position.

This position attends weekly staff meetings, project meetings as needed/scheduled, as well as scheduled Community Art Builds, and All-Hands-On-Deck Staff projects such as the End of Year Annual Mailer, Peoplehood Parade in the Fall, Blankenburg School Parade in the Spring, and other fundraising events. Evenings and weekends will be required particularly in the Fall connected to the Peoplehood programming.  

The ideal candidate will have experience with:

  • art making programs and/or art-studio management

ROLES & RESPONSIBILITIES 

Studio & Facilities Management

  • Organizing studio space for functional usage and safe shared art-making 
  • Maintaining cleanliness of studio including recycling and trash removal
  • Support the management of Spiral Q collection of puppets and art 
  • Manage puppet loans through our Justice Works program
  • Must be able to lift a minimum 50 lbs
  • Must have knowledge and experience using power tools
  • The Van
    • Ensure the van stays in working condition including maintaining vehicle registration, annual inspections, and other maintenance as needed (oil changes, lights, etc)
    • Support the training of van drivers 
  • Pellet Stove
    • Support the maintenance of studio’s heating system 
  • Building
    • Support in maintaining the building in collaboration with staff members

Material & Supply Management 

  • Manage and track inventory of materials and equipment
  • Manage material donation coordination
  • Process & track In-kind donations 
  • Make studio purchases when needed such as supplies and equipment
  • Maintain puppet inventory at studio and at the Q’s offsite storage space

Work Study Apprentice Program

  • Manage the Work Study Apprentice Program with support of other Staff Members
  • Recruit work study students through applicable university programs
  • Interview and hire work study students at the start of each college semester
  • Coordinating Work Study supervision: 
    • Directly supervise Work Study students or coordinate staff supervision
    • Submit weekly timesheets
    • Manage schedules and task lists
    • Evaluate their work, offer feedback and support

Program Support

  • Education, Community & Justice Works Programs
    • Communicate with Teaching Artist (TA) teams, artists and community members to prep & pack project/program materials 
      • Maintain inventories for TA teams throughout residency  
      • Coordinate program materials pick up, drop off, and deliveries of all program materials
      • Assist and lead relevant TA training and professional development opportunities
    • Project manage relevant gigs, events and other presentations
  • Administration
    • Participate in staff meetings and program meetings
    • Staff program & project delivery as needed
    • Provide feedback and information as related to grants when needed 

SKILLS & EXPERIENCE 

  • Bachelor’s Degree in a relevant field (or comparable and relevant experience: please explain in your cover letter)
  • General familiarity with the arts and heritage fields 
  • Experience with Spiral Q project projects and programs – or equivalent experience
  • Stellar customer service and interpersonal skills
  • 3+ years experience in project/program management or a similar field 
  • Strong organizational skills
  • Passion for community and communal art making 
  • Experience with printmaking, mache, painting, building, puppetry, theater, and/or fabrication
  • Has valid Driver’s License  
  • Comfortable driving passenger vans (training available) 
  • Ability to work independently as well as part of a team
  • Interest in and knowledge of the cultural or organizing sector in Philadelphia
  • Proficiency with Microsoft Office Suite, Google Suite, and/or Air Table (training available)
  • Our office is entirely Mac-based: experience with recent Apple OS

Accessibility Note

Spiral Q’s Studio is currently not wheelchair accessible, and has no air conditioning/limited heating. 

Timeline and Compensation

To Begin: July 2023
Weekly Commitment: Full Time (40 hours/week)
Timeline: 1 year minimum 

Compensation: Salaried at $38,000 – 43,000 commensurate to experience

Benefits: Health & Dental Insurance and Paid Time Off: Spiral Q offers health benefit packages to full time staff 3 months after start date. PTO is offered including closing the offices periodically throughout the year to accommodate for rest between busy programming seasons. 

 

Invoicing & Payment Info: Employees are responsible for tracking their hours and submitting monthly timesheets to receive payment.

 

Additional Roles & Professional Development: This employee may be invited to participate in different roles throughout the year depending on experience/excitement (such as teaching, facilitating community conversations,) and will have access to professional development opportunities.
